How to access the system administration features

Step 1 Access your Voice Mailbox

( press VM button & enter your password)

When you hear you have ??? messages

Press 7 You will be prompted for another

password the Admin default password is 2275

Now you can do the below options.

 

How to re record system greetings

Do Step 1 above then

Press 1 to edit menu prompts

(Daytime Greeting / prompt is 100)

(Night Time Greeting / prompt Is 120)

 

How to send a message to every mailbox

Do Step 1 above then

Press 5

To broadcast messages follow instructions

 

How to set Voice Mail time & date

Do Step 1 above then

Press 8 For system administration

Press 4 date & time enter mm dd yyyy hh mm the Voice Mail will then reset

 

How to reset user mailbox password

Do Step 1 above then

Press 2 administer mailboxes

Press 1 to reset mailbox password

 

How to Temporally Turn on your night greeting with the Vodavi Digital Dispatch Voice Mail Automated attendant.

The Digital Dispatch Voice Mail gets it's time from the clock in the Vodavi Triad phone system every night at 12:00. If you would like to put on your night greeting during the day and the system will resume normal operation @ midnight all you have to do is reset the time in the voice mail system. Here is what you need to do:

Press your voice mail button (You will be prompted for your password)

You will hear you do not have any messages to send. ?

Dial 7 (you will be asked for a password this is the system administrators password)

Enter password 2275

Press 8 for system administration

Press 4 date & Time enter MM YYY HH MM Voice Mail will then reset.
 

Set the time to after 5:00 (or when you are closed) or set the date to a Sunday.
 

When the Voice Mail thinks it is Midnight It will then read the time and date on the phone system and adjust accordingly.

 There are 2 steps to setting up and turning on a holiday greeting.

Step 1: You must record a holiday greeting.

Wright out your greeting below is a sample.

Thank you for calling Global Telecommunications South Florida’s leading provider of Business Phone Systems. OUR OFFICES ARE NOW CLOSED for the holiday. At anytime during this greeting you may press your desired option or extension number. You may also press 6 for a company directory. IF YOU ARE EXPERIENCING A TELEPHONE SYSTEM EMERGENCY AND NEED THE ON CALL TECHNICIAN TO CALL YOU BACK PRESS 5 FOR THE DIAL BY NAME COMPANY DIRECTORY PRESS 6. TO LEAVE A MESSAGE IN THE GENERAL MAILBOX PRESS 0 TO HERE THIS GREETING AGAIN PRESS *

THANK YOU FOR CALLING. GLOBAL TELECOMMUNICATIONS and have a happy holiday.

 How to record scripts  (this can be done before you need the greeting turned on)

Press your voice mail button (You will be prompted for your password)

You will hear you do not have any messages to send.……

Dial 7 (you will be asked for a password this is the system administrators password)

Enter password 2275

Dial 1 to record prompts

Dial 1 to edit menu prompts

Dial 105# for holiday menu recording (105 is recommended you may use another but remember what menu)

Record greeting press any key

To hear greeting press 1

To rerecord press 2

To delete press 3

Press # to go back

Press # to end

Step 2:

TO turn ON HOLIDAY / OVERRIDE greeting

{Short cut keys to turn on (VM,PW,7,2275,8,1,0,0,3,#,105,# )}

Press your voice mail button (You will be prompted for your password)

You will here you do not have any messages to send.……

Dial 7 (you will be asked for a password this is the system administrators password)

Enter password 2275

Dial 8 SYSTEM ADMIN

Dia1 1 SET UP VOICE LINES

Dial 0 ALL PORTS

Dial 0 TO Continue

Dial 3 # MENU

Dial 105 #

SYSTEM WILL RESET

note:! By turning on this greeting it will play 24 hours a day until you turn it off

 

TO RETURN YOUR VOICE MAIL TO NORMAL OPERATION

{Short cut keys to turn off (VM,PW,7,2275,8,1,0,0,4,#,,101,#)}

Press your voice mail button (You will be prompted for your password)

You will here you do not have any messages to send.……

Dial 7 (you will be asked for a password this is the system administrators password)

Enter password 2275

Dial 8 SYSTEM ADMIN

Dia1 1 SET UP VOICE LINES

Dial 0 ALL PORTS

Dial 0 TO CONTINUE

Dial 4 # TIME CONTROL

Dial 100 for 7:00-4:00 M-F

Dial 101 for 8:00 – 5:00 M-F

Dial 102 For 9:00-5:00 M-F
